Front Desk and Records Unit

“We find what you’re looking for.”

The Front Desk and Records staff are civilians who assist with and provide a variety of services for members of the public who call or attend Kingston Police Headquarters in person.

Front Desk Staff

Front Desk

Front Desk staff are the first people you meet to deal with non-emergency calls. They are customer service specialists who take the initial reports for cases like missing people, stolen vehicles, Family and Child Services-related calls; anything where an Officer is not needed to immediately attend. They are also Commissioners of Oaths, they coordinate connecting people with the correct Officer for updates on cases, they sign in citizens who are on parole, and they transcribe online reports.

Records

Records staff are experts at finding documents; if you need something, they can get it. A significant portion of their job involves performing background checks for people to volunteer in the community, or to obtain security clearances. They also deal with Motor Vehicle Collision Reports, Freedom of Information and Privacy requests, compiling Policing and crime statistics, and locating other Kingston Police reports.

Records staff are responsible for CPIC (the Canadian Police Information Centre) and all other records maintenance. Kingston Police Records staff handle fingerprint destruction applications, pardon processing, young offender records, driving suspensions, and several requests for information from, and for, Family and Child Services.

Records staff also work closely with several outside agencies. They lawfully share information with agencies as diverse as Kingston Fire Rescue, Bylaw, the Electrical Safety Authority, the Coroner Office, CSIS, CSE, the Privacy Commissioner, and the RCMP who themselves handle international requests.

Do you have what it takes?

A high volume of people will call or attend police headquarters every day and applicants for the Front Desk and Records positions must be customer service oriented, and this includes being personable, empathetic, and patient.

The successful candidate must be able to understand the functions and roles of the many units within Kingston Police, and then be able to decipher peoples needs and connect them with the appropriate services.
